Job Description:

?The Cox Automotive People Solutions team is embarking on an exciting initiative to transform the HR Function. The ESC Coordinator, reporting to the Senior Director, ESC, will be critical in helping to accomplish transformation objectives impacting the ESC. In this key role, the ESC Coordinator is responsible for supporting administrative, logistical, and office-related efforts. The ideal candidate:

  • Can support a team of mid-to-senior level leaders for the execution of projects.
  • Can apply project management best practices in the development, initiation, planning, execution, control and closing of projects.
  • You will develop and drive project communications and dashboards. Key Responsibilities:
  • Facility management (under direction of Sr Director)
  • Order supplies and equipment
  • Oversee equipment maintenance
  • New hire set up
  • Serve as Technology and maintenance point of contact
  • Mail and File management
  • Incoming mail distribution
  • Faxing and mass mail support
  • File clean up, scanning, archiving and retrieval
  • Employee record support
  • Meeting and event management for the ESC
  • Logistics and set-up
  • Scheduling and invitations
  • Meeting prep
  • Space reservations
  • ESC Environment support
  • Leader communication development & distribution
  • Engagement campaigns
  • Office environment and events (e.g., volunteering, staff meetings, productivity contests)
  • General admin & HR support for ESC Leadership
  • Data and transaction support (if needed)
  • Coordinated travel (when needed)
  • Distribution and contact lists
  • Office / staff calendar support
  • Develop detailed project plans and track progress
  • Coordinate internal resources including technology set-up and third parties/vendors for the flawless execution of projects.
  • Manage project resource availability and allocation
  • Assist in the preparation of materials and set-up for leadership and executive meetings ?Qualifications:Required Education & Experience:
  • Bachelors in HR, Business or like discipline or equivalent combination of education and work-related experience
  • 3-5 years relevant experience, work in shared services environment a plus, proficiency in MS Office systems (MS Project a plus).
  • Strong writing & communication, oral and written (especially presentations and online communication.
  • Experience in events/meeting coordination, facilities management, project coordination, and/or office and team coordination a huge plus.
  • Ability to protect confidential information and work with people at all levels in the organization with strong relationship building skills.
  • Working knowledge of HR, Operations, and/orBusiness Operations
