This is a fully remote position.Role and ResponsibilitiesThe Proposal Workflow Coordinator is responsible for leading the proposal operations process, beginning with the initial intake activities and through the successful closure of a proposal after it is submitted. This role plays a critical role in the success of the Proposal Strategy team through the timely and accurate assignment and reporting of proposal work. This role also provides monthly and year-end reporting to the Growth Office. Essential job functions include:

  • Identifying Proposal Strategy resources and assigning team members to new RFx items.
  • Preparing daily dashboards and reporting to key stakeholders throughout Southern Scripts.
  • Developing, maintaining, and distributing customized reports that are used by leadership to plan for appropriate staffing levels.
  • Providing oversight and management of workflow requirements to support the timely assignment of revenue-generating activity.
  • Developing and maintaining workflow processes and procedures to ensure effective operations in support of the sales organization.
  • Creating proposal folders on the shared network drive.
  • Entering and validating information in the CRM tool.
  • Managing and maintaining a centralized inbox for the department and makes assignments within 4 hours of receipt.
  • Assistance completing the more basic proposals.
  • Establishes, develops, maintains and updates electronic document management systems, and assists in the retrieval of information from files when needed.
  • Organizes and prioritizes large volumes of information and calls.
  • Works independently and within a team on special nonrecurring and ongoing projects.
  • Abide by all obligations under HIPAA related to Protected Health Information (PHI).
  • Attend, complete, and demonstrate competency in all required HIPAA Training offered by the company.

      • Interest and ability to constantly learn and apply new ideas to the operation of the office and the organization.Position Type and Expected Hours of Work
        • Full-time/Salaried/Exempt.
        • Some flexibility in hours is allowed, but the employee must be available during the "core" work hours of 8:00AM to 5:00PM CT. We cover clients from West to East Coast, work times must be adjusted to cover meetings in all time zones. Ability to work extended hours, weekends and holidays pursuant with industry demands.TravelThis position requires minimal travel to/from the Natchitoches, LA area.Required Education and Experience
          • High school diploma with general college course experience.
          • One year of administrative support, marketing or office management experience.Preferred Education and Experience:
            • Bachelor's degree in marketing, business or similar field
