Position Summary The HR Generalist Vacation Ownership (VO) will report directly to the Area Director of Human Resources and is responsible for assisting the HR Leadership team in assessing and reviewing all human resources activities including compensation, work environment, associate relations, unemployment, worker---s compensation, compliance and interpretation of site and company Human Resources policies and procedures. This position will assist in the preparation and execution of investigations and hearings, as well as consult with the other regional HR staff on worker---s compensation issues. The incumbent contributes a high level of HR generalist knowledge. The Generalist will also support site management and HR Coordinators with escalated Human Resources issues. Generally, works under limited supervision, but within established guidelines, producing and analyzing more complex business information to assist in the decision-making process.-- Serve as Human Resources subject matter expert and participate on or lead project teams as assigned. Train new hires on Human Resources processes, programs, policies, information systems, etc.-- Focuses on delivering HR services that meet or exceed the needs of the sites / brands supported and enables business success; as well as ensures compliance with all applicable laws, regulations and operating procedures.-- Assist employees with internal and external transfer requests and procedures. Monitor and assist managers/supervisors with hiring processes and issues. Coordinate and conduct applicant drug screens, reference checks, background checks, motor vehicle checks, and social security number verification. Create and maintain new hire and personnel files and enter them into Human Resources Information Systems. Assist with orientation of new employees. Monitor all hiring and recruitment processes for compliance with all local, state, and federal laws and company policies and standards. Ensure accurate maintenance of all employee records and files (e.g., interview documents, I-9's). Support processing and maintenance of payroll records in accordance with policies and procedures, as necessary. Create and maintain filing systems. Generate Human Resources data reports as necessary. Follow all company policies and procedures; ensure uniform and personal appearance are clean and professional; maintain confidentiality of proprietary information. Speak with others using clear and professional language; prepare and review written documents accurately and completely; answer telephones using appropriate etiquette. Develop and maintain positive working relationships with others; support team to reach common goals; listen and respond appropriately to the concerns of other employees. Move, lift, carry, push, pull, and place objects weighing less than or equal to 10 pounds without assistance. Perform other reasonable job duties as requested by Supervisors. Specific Expected Contributions Support Human Resources Leadership

  • Helps support HR Leadership provide liaison and consulting services to all levels of management and associates, interpreting and defining Division and Human Resources policies and procedures to ensure/enforce compliance.
  • Works with HR Leadership to develop, plan, and carry out all local policies and procedures relating to all phases of Human Resources.
  • Analyzes and reviews statistical data and reports to identify and determine causes of turnover and retention within the workforce and collaborates with HR Leadership to develop recommendations/improvements to management, as well as improvements to employment policies, processes and practices.
  • Assists site leadership in the planned development and reinforcement of organizational strategies, structure and processes.
  • Works with HR Leadership and site management to identify current and future weaknesses and strengths; problems and concerns; job satisfaction and productivity.
  • Works with all levels of management on-site to ensure organizational competence and performance management. Employee Relations
    • Respond to questions, requests, and concerns from employees and management regarding company and Human Resources programs, policies and guidelines.
    • Support line managers with employee relations issues, conduct investigations and escalate to Human Resources management as required.
    • Inform Human Resources management of ER matters and help resolve employee relations issues at the property.
    • Support line managers and Human Resources management with engagement initiatives, including the coordination of recognition programs and training initiatives.
    • Provide support in the Engagement Survey exercise.
    • Conduct on-site research for Unemployment Hearings/Legal cases.Policies and Procedures
      • Remains current with new labor legislation, court decisions and government regulations to keep abreast of legal developments and recommend updates to policies, procedures and related programs as appropriate.
      • Subject matter expert providing guidance to HR Coordinators and site management regarding policies and procedures.
      • Maintain confidentiality of proprietary materials and information.
      • Follow company and department policies and procedures.
      • Protect the privacy and security of employees and coworkers.
      • Ensure site compliance with all applicable MVW policies and procedures.
      • Perform other reasonable job duties as requested. HR Communications and Relations
        • Respond to questions, requests, and concerns from employees and management regarding company and Human Resources programs, policies and guidelines.
        • Ensure posting of all necessary legal or regulatory posters, notices etc. related to Human Resources in view of all employees as required by law.
        • Assist and support management, leadership team, and HR Coordinators with handling and resolving Human Resources Program issues.
        • Provide benefits administration support including assisting associates with enrollment in benefits.
        • Creates and orders site ID Cards.
        • As the New Hire On-boarding Coordinator, conducts Orientation and is responsible for administration, scheduling, and ensuring compliance with deadlines for completion. Includes responsibility for new hire Drug Testing, Chain of Custody and Driver Responsibility forms as appropriate.
        • Submit and track all orientation training or all other training attendance to the Learning Administrator.
        • Be the Point of contact for the following:
          • Kiosk Maintenance
          • Spirit to Serve events
          • Time Clock Maintenance.
          • Receive and distribute Service Awards/Benefit Materials/Posters.
          • Assist management and associates with modified duties, etc. for Workers Compensation cases.
          • Perform any reasonable request as assigned. Maintaining Legal and Compliance Practices
            • Ensure associate files contain required employment paperwork, proper performance management and compensation documentation, are properly maintained and secured for the required length of time.
            • Review and ensure adherence to the Federal Wage and Hour Law/Fair Labor Standards Act and other legal requirements.
            • Ensure compliance with procedure for accessing, reviewing, and auditing associates--- files and ensure compliance with the Privacy Act.
            • Partner with the ASC Leave Administration team to ensure medical records are maintained in a separate, secure and confidential medical file.
            • Liaise with the HR Corporate onboarding team
            • Oversees the selection/non-selection and offers processes to ensure proper procedures are followed (e.g., valid reasons for selection/non-selection and applicants receive status notifications).
            • Audit the I-9 Verification, filing and audit processes, and the issuance of MVW onboarding documentation.
            • Assist with the review of compliance reports (e.g., ISPT, FCPA, COVID attestations etc.).
            • Audit areas to ensure HR related compliance posters are current and visible.
            • Maintains a good business relationship with all legal/government institutions Administration
              • Maintain confidentiality and security of employee and property records, files, and information.
              • Ensure accurate maintenance of all employee records and files (e.g., interview documents, transfers, I-9's, reference checks, Drug Free Workplace Policy (DFWP), applicant self-identification forms, department orientation check list).
              • Answer phone calls and record messages.
              • Create and type office correspondence using computer.
              • Create and maintain filing systems. Communication
                • Talk with and listen to other employees to effectively exchange information.
                • Speak to employees and co-workers using clear, appropriate and professional language.
                • Discuss work topics, activities, or problems with coworkers, supervisors, or managers discreetly and quietly, avoiding public areas of the property.
                • Answer telephones using appropriate etiquette including answering the phone within three rings, answering with a smile in one's voice, using the callers' name, transferring calls to appropriate person/department, requesting permission before placing the caller on hold, taking and relaying messages, and allowing the caller to end the call.
                • Prepare and review written documents (e.g., daily logs, business letters, memoranda, reports), including proofreading and editing written information to ensure accuracy and completeness.Working with Others
