JOB OVERVIEW: The Administrative Assistant and Receptionist positions at J. David Tax Law are interchangeable, with cross-training available and similar task and job functions. The primary job functions of the Jacksonville and Orlando Administrative Assistant is to provide administrative support across multiple departments within the firm, including document maintenance and storage, scheduling of new client calls and visits and greeting said clients when they arrive at the firm. This position is specific in the creation, processing, and execution of Power of Attorney forms to ensure proper case representation for the attorney team. This position will allow for exposure to the legal aspects of the company, with opportunities for growth into the Legal Assistant Department. RESPONSIBILITIES: Perform multiple supportive administrative functions to assist in the day-to-day functions of all departments. Collect, examine, organize, and maintain physical mail/documents delivered by clients, adhering to protocols in regard to proper document upload to HubSpot, and disposal of said documents. Complete all aspects of new client calls/visits and Power of Attorney processes in a timely and proficient manner, as outlined in the department manual. Efficiently monitor, and respond to individual incoming email, voicemail and phone calls. Maintain a centralized company email where sensitive client information and documents are stored, ensuring timely updates to the client's HubSpot account. Provide professional interface with clients while maintaining composure in high stress situations. Punctuality, with a firm adherence to work attendance protocols. Motivate and inspire. QUALIFICATIONS: Self-motivated and self-directed in job-related tasks and performance. Must be client and customer service focused. Must be able to exhibit continuous dependability and have a reliable form of transportation to and from work. Proficient written and verbal communication, exemplifying professional phone and email etiquette. Ability to work both independently and cohesively alongside other Administrative Assistants and departments within the company. Must be organized, with the innate ability to prioritize and multi-task. Basic computer literacy and navigational ability (Microsoft Suite, including Word, Excel and Outlook, Adobe Acrobat).
